Job Summary
We are seeking a highly organized and proactive Personal Assistant to support a busy executive. This mainly requires driving a home health Doctor of Physical Therapist around to his patient appointments. The shifts could be between 4-9 hours usually, and up to 3-4 times a week. The Doctor of Physical Therapy needs to be able to focus on documentation and phone calls in the back while the Assistant safely drives the vehicle. The Assistant can drive the company vehicle.
The ideal candidate will possess exceptional multitasking abilities and a strong attention to detail. This role requires managing various administrative tasks, ensuring smooth operations, and providing comprehensive support to enhance productivity.
Duties
- Driving in Contra Costa County, Solano County, Sonoma County, East Bay
- Manage office operations, including scheduling appointments and maintaining an organized workspace.
- Oversee calendar management, ensuring all meetings and deadlines are met efficiently.
- Transcribe notes from meetings and prepare documents as needed.
- Coordinate projects by tracking progress and communicating updates to relevant stakeholders.
- Utilize Google Suite and Outlook Calendar for document management and scheduling tasks.
- Handle phone systems, including answering calls, taking messages, and directing inquiries appropriately.
- Assist with clerical duties such as filing, data entry, and maintaining records.
- Support the executive in personal tasks as required to facilitate work-life balance.
Skills
- Safe driving record
- Proficiency in office management techniques with a focus on efficiency.
- Strong calendar management skills to prioritize appointments effectively.
- Excellent transcription abilities for accurate documentation of meetings.
- High level of computer literacy with experience in Google Suite applications.
