Role Overview
Smith Mazure is seeking a detail-oriented, organized and confident individual to join our team as a New Matter Intake (NMI) Clerk.
This individual will be responsible for setting up new legal matters in our case management system via legal documentation and specific direction of the Firm's attorneys. The role requires new matters to be opened and processed accurately and in a timely manner. The New Matter Intake team is the first department to process a new Firm business and is the catalyst for new matters being handled efficiently.
Key Responsibilities
- Manage and process the opening of new files in the Firm's case management system, with quality, consistency, thoroughness, efficiency & accuracy as the forefront of every day
- Review and organize incoming legal documents and information
- Confidently decipher the days priorities and recognize urgent v. non-urgent to-do items
- Collect and input data into the firm's case management system
- Communicate with attorneys, staff and external personnel to gather any missing/additional details
- Liaise with external law firms regarding extensions of time to answer for our attorneys
- Ensure all required information is accurately recorded and maintained
- Devise new processes to better the team and the firm as a whole
- Assist with other Operations & Administrative tasks as assigned
Skills/Qualifications Required:
- Strong attention to detail and accuracy, plus excellent organizational skills
- Able to apply functional reasoning, rational judgment and sometimes creativity to resolve problems and finish assignments in a timely fashion
- Ability to work both independently and as a team
- High-level of time management skills, particularly being capable of identifying and prioritizing what is urgent and what is not
- Strong reading comprehension skills and ability to decipher what things mean by using the context of other available information
- Professionalism when dealing with all personnel, including external contacts and our own clients
- Ability to learn new programs/processes and be adaptable to change
- Creative eye for improving processes and finding ways to be more efficient
- High confidence in themselves and in their choices, but still comfortable bringing a concern or issue to their higher up and ask for help
- Previous experience in operational/data entry specific role a plus
- Previous law firm experience is desirable but not required
Job Type: Full-time
Pay: $18.00 - $20.00 per hour
Expected hours: 35 per week
