Job Title: Personal Assistant to the CEO

Reports To: Group CEO

ob Summary:


  • We are looking for a versatile and highly organised personal assistant to perform personalised administrative duties for the CEO. In this role, you will be responsible for managing schedules, organising meetings, handling correspondence, making travel arrangements, and assisting with various personal tasks as needed.
  • The successful candidate must be detail-oriented, able to prioritise tasks, tech-savvy, and have excellent communication and interpersonal skills.

Principal Duties & Responsibilities:


  • Act as a first point of contact for all emails and phone calls.
  • Proactively manage andmeetings and Group CEO's schedule by setting priorities, scheduling internal and external meetings, and ensuring the necessary briefing materials are created and made available.
  • Use creativity and innovation to develop new ideas and approaches to support the CEO.
  • Prepare reports, presentations, and other documents for meetings and presentations.
  • Manage projects and events, budgets, vendors, and logistics.
  • Ensure that work is carried out in accordance with Livespot 360’s values, equality goals, policies, and procedures.
  • Manage schedules, including arranging and coordinating meetings, appointments, and travel arrangements.
  • Maintain effective filling and data storage including emails and retrieval systems ensuring the needs of the Group CEO are met.
  • Provide the Group CEO with complete personal assistant support by handling all correspondence and calls, composing routine letters at a high standard, taking minutes at meetings, taking messages, and performing other administrative duties as needed.
  • Provide support for meetings by ensuring meetings are properly arranged and serviced. This will include drafting agendas, collating papers, and taking minutes.
  • Ensure that work is carried out in accordance with Livespot 360’s values, equality goals, policies, and procedures.
  • Provide senior management reports as required.
  • Maintain strict confidentiality and exercise the utmost discretion in all work-related activities.
  • Perform any additional necessary tasks to assist the Group CEO in carrying out their responsibilities.
  • Maintain all documents and files using the organisation’s central filing system with a strict compliance of the documentation policy.
  • Undertaking any necessary duties to ensure a first-class service is provided always.
  • Being an ambassador for the business always.

Qualifications, Competency & Skills Required:


  • Bachelor's degree in a related field of study.
  • 2 years experience as a personal assistant or in a similar role.
  • Strong organisational and time management skills.
  • Excellent written and verbal communication skills.
  • Ability to multitask and prioritise tasks effectively.
  • Ability to work independently and as part of a team.
  • Discretion and confidentiality when handling sensitive information.
  • Flexibility to work evenings and weekends as needed.
  • Experienced Microsoft Office user, particularly Word, Excel, and PowerPoint.
  • Competent Internet, email and Google applications user.

Location:

  • Lagos, Nigeria; including other locations as required.

Office Hours:

  • 08.00 to 17.00 Mondays to Fridays.
