Job Description: Will provide hospitality and a welcoming presence for the Association office. The administrative assistant will provide continuity to all administrative services of the Association in an accurate, efficient, and timely manner. This role will serve as a support for the Member Support and Strategy Specialist and others within the Association office. This role works to support the day to day needs of the members of the Association. The Administrative Assistant will preserve the confidentiality of Association and member issues at all times.
Hours: Monday- Thursday 09:00 am - 3:30 pm and Friday 08:30 am - 12:30 pm. (Part time)
Essential Job Duties (in order of priority):
Administrative Support 80%
Utilizing Microsoft Office, prepare and update for Association Operational Committees including: general correspondence, forms, projects, and other documents as directed by the VP of Member & Resident Engagement.
Record and process committee minutes for various member committees as assigned.
Contribute to projects as outlined in the AA calendar of duties.
Serve as the face of the Association building emphasizing excellent hospitality and a welcome atmosphere providing assistance and guidance for all who enter the building.
Prioritize office work flow.
Provide administrative support to all operational chairs and backup in the absence of Executive Assistant.
Recommend and implement improved, cost effective office procedures as well as processes to reduce steps or time involved in a task achieving desired result.
Maintain adequate level of office supplies, printed supplies, and kitchen/committee supplies for use by staff and volunteers, within budget.
Update and maintain Association membership records in the database and other documents.
Set up/clean up beverages for meetings listed on the calendar and/or office use.
Book room reservations/virtual meetings as requested and perform room set up as needed.
Manage calendar including sending invitations and organizing meetings as needed for Association committees and President or other leadership team members.
Post outgoing mail on postage meter. Open, sort, and distribute incoming mail.
Perform filing, photocopying, proofreading, watering plants, kitchen clean-up, or other duties as requested.
Provide administrative assistance and support to the Member Support and Strategy Specialist
Individual & Specialized Support 20%
Provide set up of and/or direction to meeting facilitators on use of A/V equipment in the Association office. Support when there is a need for troubleshooting.
Provide support to President and other leaders as the administrative support for the Long Range Planning efforts. This includes but is not limited to organizing meetings, ensuring supplies and information is readily available, and meetings are supported effectively and professionally.
Provide administrative support for President – managing calendar, sending communication on their behalf, organizing meetings, and overall support as needed.
Secondary and Periodic Position Functions:
Provide support and assistance as directed in other areas.
Attends in-service and approved continuing education programs, including completion of any required certification trainings.
Education:
Associate or Administrative Professional Certificate
Bachelor degree in Business, Marketing, or Human Relations field preferred.
Experience:
Experience in administrative support and hospitality.
Meeting set up and organization a plus.
Knowledge, Skills & Ability:
Excellent interpersonal skills including an ability to adapt to varying personalities to offer hospitality and excellent customer service. An ability to show and have compassion and have empathy for others.
Strong skills in analytical functions, problem solving, and teamwork.
Excellent communication skills to include: written, oral, public speaking, listening, and non-verbal. Communication should be with a positive spirit.
Excellent organization skills.
Ability to work independently with an emphasis on accuracy and timeliness.
Proficiency in MS office (Word, Excel, Access, PowerPoint).
Willingness to learn new programs.
Experience and/or training with computers.
Ability to operate a variety of office machines including a personal computer and printer, photocopies, scanner, projector, and microphone.
Trustworthy and dependable, with willingness to accept suggestions and ability to cooperate.
High degree of personal cleanliness and hygiene, neat and well-groomed in appearance.
Ability to hold information in confidence and establish trust.
