Job Title: Administrative Assistant & Billing Specialist

Location: Kent Washington

Salary: $17-20/hour, depending on experience

We are seeking a detail-oriented and proactive Administrative Assistant to support our team with daily operations. The ideal candidate is organized, communicates effectively, and thrives in a fast-paced environment. This role will involve a variety of clerical and administrative tasks to ensure the smooth functioning of our office.

  • Answer and direct phone calls, emails, and other correspondence with professionalism.
  • Perform data entry, maintain organized records, and update spreadsheets or databases.
  • Greet visitors, manage front desk operations, and ensure a welcoming environment.
  • Assist with preparing reports, presentations, and other documents using MS Office (Word, Excel, PowerPoint).
  • Handle ordering office supplies.
  • Collaborate with team members to streamline processes and improve efficiency.

The Billing Specialist will manage billing processes, ensure accurate invoicing, and maintain financial records. This role requires attention to detail, strong analytical skills, and the ability to work with sensitive financial data in a fast-paced setting.

  • Process and send accurate invoices to clients or insurance providers.
  • Verify billing data, ensuring compliance with company policies and regulations.
  • Resolve billing discrepancies by communicating with clients, vendors, or internal teams.
  • Maintain up-to-date records of accounts receivable and payment statuses.
  • Submit claims to insurance companies and follow up on unpaid or denied claims (if applicable).
  • Generate financial reports and assist with audits as needed.
  • Use billing software (e.g., QuickBooks, Medical Billing Software, or similar) to track transactions.
  • Collaborate with the finance team to streamline billing processes and improve accuracy.

Qualifications

  • High school diploma or equivalent; associate’s degree in accounting, finance, or related field preferred.
  • 1-3 years of experience in billing, accounts receivable, or a similar role.
  • Proficiency in billing software and Microsoft Office Suite (especially Excel).
  • Strong understanding of billing procedures, coding, and compliance (e.g., HIPAA for healthcare).
  • Excellent attention to detail and problem-solving skills.
  • Effective communication skills for interacting with clients, vendors, and team members.
  • Ability to prioritize tasks and meet deadlines in a fast-paced environment.

Job Type: Part-time

Pay: $17.00 - $20.00 per hour

Expected hours: 20 per week

Schedule:
