Full Job Description

We are seeking a detail-oriented and proactive individual to join our team as an Administrative and Financial Assistant professional. This position will provide administrative support to the Executive Director and Director of Accounting, as well as support operations of the Foundation.

Responsibilities Include:

  • Administrative support to Executive Director including submission of expense reports and monthly credit card statement
  • Assist in the preparation of board and committee meetings, including agenda creation, distribution of materials, taking detailed and accurate minutes
  • Perform other administrative tasks as required to support the Executive Director and board committees
  • Provide backup support in office for general inquiries via telephone, email and walk-in visitors

Accounting/Accounts Payable:

  • Open mail and process donations received
  • Enter accounts payable and run reports as needed
  • Communicate with vendors and track contracts
  • Process and distribute checks through USPS and intercampus mail, including certified mail
  • Perform other basic accounting duties as required to support the Director of Accounting

General Foundation Support:

  • Create and update fund agreements based on provided fund policies and guidelines
  • Maintain Foundation data files, storage and inventory of office products, stationery/mailing products
  • Provide other support as needed for Foundation operations

Job Requirements:

  • Experience as an executive administrative assistant or in a similar role
  • Excellent descriptive writing skills and verbal communication skills
  • Ability to compose, type, and proofread materials, establish priorities, and meet deadlines
  • Must be able to plan and coordinate large Board and Staff events
  • Can collaboratively and effectively work well with others
  • Must be able and willing to assist staff and Board members with various inquiries
  • Able to work independently with direction
  • Strong organizational and time-management skills
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Experience with board management and fundraising and relationship management software preferred

Job Type: Part-time

Pay: From $20.00 per hour

Expected hours: 32 per week

Schedule:

  • Day shift
  • Monday to Friday
