<p><strong>Job Description</strong></p><ul><li>The candidate will serve as the first point of contact for visitors, clients, and employees, providing a welcoming environment and excellent customer service.</li><li>This role involves managing the front desk, handling calls, coordinating mail and packages, and supporting various administrative tasks as needed.</li><li>A candidate who can play an essential role in creating a positive experience and smooth operation of the office.</li></ul><p><strong>Responsibilities</strong><br />Front Desk Management:</p><ul><li>Upon arrival, greet and welcome visitors and clients, providing directions and information as needed.</li><li>Ensure the reception area is tidy, presentable, and stocked with necessary materials attendance /visitors register, PPE etc.</li><li>Good phone and Communication Etiquette.</li><li>Answer, screen, and route incoming phone calls professionally and efficiently.</li><li>Take and relay messages accurately, ensuring timely communication with relevant team members.</li><li>Respond to general inquiries via phone and email.</li></ul><p>Visitor and Meeting Coordination:</p><ul><li>Coordinate visitor access by registering guests, issuing visitor badges, and notifying employees of guest arrivals.</li><li>Manage meeting room reservations and assist with setup, ensuring rooms are organized and equipped as needed.</li></ul><p>Mail and Package Management:</p><ul><li>Receive, sort, and distribute incoming mail and packages.</li><li>Prepare outgoing mail and handle courier services as needed.</li><li>Maintain an organized mail and package log.</li></ul><p>Administrative Support:</p><ul><li>Assist with basic administrative tasks such as filing, data entry, and document preparation.</li><li>Support office operations by ordering and restocking supplies as needed.</li><li>Coordinate with other departments to provide general office support when required.</li></ul><p>Customer Service:</p><ul><li>Provide a high level of customer service to both internal staff and external visitors.</li><li>Address questions, provide information, and help resolve issues courteously and professionally.</li></ul><p><strong>Qualifications</strong></p><ul><li>Experience: 2-3 years in a receptionist, customer service, or administrative role.</li></ul><p>Skills:</p><ul><li>Excellent verbal and written communication skills.</li><li>Proficiency in Microsoft Office Suite and familiarity with office equipment e.g., printers, copiers.</li><li>Strong organizational skills and attention to detail.</li><li>Ability to manage multiple tasks and prioritize effectively.</li></ul><p>Personal Attributes:</p><ul><li>Friendly, welcoming, and professional demeanor.</li><li>Punctual, dependable, and committed to a high level of service.</li><li>Positive attitude and proactive approach to problem-solving.</li><li>Ability to work independently as well as collaboratively.</li></ul>
