Job DescriptionWe are a prestigious school dedicated to academic excellence and holistic development of our pupils. As we continue to expand, we are seeking an experienced, organised, and highly motivated individual to join our team as a School Receptionist.As our receptionist, you will be the first point of call for visitors to the school, parents, staff and children. As the ‘face’ of the school, you will be welcoming, personable, and helpful; being able to represent us in a professional and friendly manner. In addition, it is essential that you are organised, be able to multi-task, work flexibly and have a ‘can do’ approach to work, as no two days are the same. You will also be required to assist the Administrator with various administrative tasks.If you are passionate about education, have a strong administrative background, and are ready to take on a multifaceted role, we would love to hear from you!ResponsibilitiesReception:To be the first point of contact for visitors to the school, extending a warm welcome to callers – including parents, visitors and vendorsTo deal effectively with telephone calls; taking and passing on messages as requiredReceiving visitors with reference to the school’s child protection policy, whilst monitoring entry systems and ensuring signing in and out in accordance with the same policyCommunicating with parents regarding all aspects of school life, receiving and passing on information between parents and teachers in a timely manner with minimum disruption to lessons.To ensure that the reception area remains tidy and that literature and forms are updated and replenished as necessary.Collate registers and check absences.To provide first day calling to parents of absent pupilsMaintaining and updating school information, records and databasesAdministrative:Printing of all learning resources, workbooks, assessments, timetables and calendarsAssisting with the production of school publications; Collating, printing of timetables, examination scripts, collation of marks and printing of school reportsAssisting with basic accounting functions, such as cross-checking produced school bills, circulating, processing and reconciling all fee paymentsEnsuring that all after school enrichment programmes are running smoothly and in line with safeguarding proceduresDiary management of all school meetingsProcessing medication and incident report forms in collaboration with the welfare officerParticipating in school meetings, parent information day and parent-teacher conferencesActively involved in public relations and marketing activities; including daily social media postingsRequirementsMust live within commuting distance of Jericho, IbadanBEd Educational Management, BA or BSc in a related field.Minimum 3 years experience in a school office/busy administration departmentExperience of dealing effectively with the general publicExperience of working successfully and co-operating as a member of a teamExperience of undertaking a range of administrative tasksSkills:Extensive Keyboarding skills and high level of competency in IT (Microsoft Office Suite) and Google WorkspaceAbility to operate and troubleshoot basic electronic office equipment such as laminating machines, printers etc.Ability to maintain a moderately complex filing system and recordsAbility to communicate effectively both orally and in writing across a wide range of audiencesAbility to make mathematical calculations and enter data accuratelyExcellent interpersonal skills and a calm approachAbility to maintain strictest confidentiality and integrity at all timesAbility to complete work to a high standardAbility to work with initiative and cope with periods of pressure and prioritise workload accordingly so that deadlines are metA commitment to working as part of the whole school team and supporting the vision and ethos of the schoolStrong organisational skills and attention to detail, with the ability to manage multiple tasks effectivelySmart with professional appearanceAbility to relate well to children and familiesBe aware of the requirements of working in an educational establishmentResourceful, positive, and enthusiastic with a good sense of humourFlexibility and adaptability in a fast-paced and dynamic work environment.
